BEFORE ARRIVAL TO JEDDAH, KSA


Official delegates (Governors, Alt Governors and members of delegations) will receive a letter with a registration code. The registration code is essential for the Pre-registration process, which is subject to approval.

After the pre-registration, an email containing a “username and password” will be sent to each registrant to complete the registration process. Delegates are requested to scan and upload their photograph and copy of their passports (and for the accompanying person, if any).

IsDB will confirm hotel bookings for Governors and Alt. Governors only, members of Delegations should contact their preferred hotel directly to make a reservation. An updated list of official hotels, contact information, and rates are available on the Annual Meeting website.

Once the registration is finalised, a confirmation letter will be sent, which the delegates are kindly requested to bring it to Jeddah to facilitate the issuance of badges.

Speakers will receive a letter with a registration code. The registration code is essential for the registration process, which is subject to approval.

Speakers are requested to scan and upload their photographs and copy of their passports (and for the accompanying person, if any).

For hotel booking, Observers should contact their preferred hotel directly to make a reservation. An updated list of official hotels, contact information, and rates are available on the Annual Meeting website.

Participants interested in attending the Annual Meeting’s side events and the Exhibition, are invited to register their requests via the below link.

Participation is subject to approval, and participants are requested to upload their photograph.

Once approved, a confirmation letter will be sent, which the participants are kindly requested to bring it to the Annual Meeting’s venue (Jeddah Hilton Hotel) to facilitate the issuance of badges.


IN JEDDAH

– REGISTRATION

Annual Meeting Registration will be located at the Jeddah Hilton Hotel, Jeddah and will open at 8:00 AM on Saturday, May 13 through the close of the meetings on May 18. All participants are urged to register promptly. Participants are required to show passports or other means of government-issued photo identification to obtain their badge.

– ID BADGE

ID badges will be required for admission to the Plenary Meeting, meeting rooms and offices. Participants are required to wear their ID badge at all times while at the meeting venue. Lost or missing badges should be reported immediately to the Registration Counter at the Annual Meeting venue. Annual Meetings badges must bear a current photograph of the registrant, so participants must be photographed and obtain their individual registration badge.

– PASSPORTS AND VISAS

Except for the citizens of the Gulf Cooperation Council, participants from all countries require a visa to visit Saudi Arabia. Participants must hold a passport valid for more than 6 months from the date of entry, with at least two sided blank pages in the Passport. Participants should send their passport details as early as possible to allow sufficient time for processing.

– PRESS

Press Center will be setup at the Annual Meeting venue to enable journalists and media representatives work properly. A detailed programme of activities before and during the Annual Meeting will be provided. Media representatives are requested to contact the communication desk at the Press Centre for information on the Meetings, or any requests for formal interviews.

– LIAISON OFFICER

A liaison officer will be assigned to each Governor to assist him/her throughout the period of the Annual Meeting.

– GENERAL SERVICES

  • Information Desk will be located throughout the Annual Meeting venue during the period of May 14-18 to handle general inquiries.
  • Limited banking services, including foreign exchange, will be available in the Annual Meeting venue. These services are also available at most hotels. ATM machines can be found in the area surrounding the Annual Meeting venue.
  • Medical facilities will be available in the “official” hotels and the Annual Meeting Venue. Physicians and nurses are on duty around the clock. Ambulances will be also available. Although the primary medical care will be provided. It is advisable that delegates should have an international travel insurance policy.
  • Hotels and Tours Desk will be available at the Registration Area to obtain information or sign up for Umrah visit to Makkah and the Madinah Al Munawara’s visit packages, which will be offered to the Annual Meeting delegates at a special discounted price.

Internet Station will be located in ………………….. and wireless internet will be available in all meeting halls.


– TRANSPORTATION

Regular shuttle buses will be available from the “Official” Hotels to the Annual Meeting venue and vice versa for all participants. Participants who opt to reside in non-official hotels should make their own transportation arrangements.
